All self-employed people with an income over £20,000 will soon be required to use making tax digital software for self employment (£50,000+ sales from April 2026, £30,000+ from April 2027 and £20,000+ April 2028+). As spreadsheets do not typically allow data flow to and from government servers, this requires suitable self-employed bridging software such as provided by 123 Sheets to electronically send quarterly summary data to/from HM Revenue & Customs (HMRC).

How does your MTD for Income Tax Software work?

Continue to use your existing spreadsheet and insert our additional worksheet to collect summary quarterly data. Upload the spreadsheet to our website to send the quarterly data to HMRC.

Alternatively, you can use one of our powerful spreadsheets to enter your accounting data and send summary data to HMRC. All income and expense categories on our spreadsheets are pre-matched to HMRCs income and expense categories and our spreadsheet allows bespoke categories to be added if desired. Our spreadsheets run complete ledger reports, deal simply with dis-allowable expenditure, run VAT Returns and show profit reports per self-employment for those that run multiple business units.  

Users of Sage, QuickBooks and other products can export an Excel report out of their accounting software and upload that to our website in order to send data to HMRC.

What is ‘Making Tax Digital’?

There are two basic elements to this:

1. You must keep your bookkeeping, through to quarterly sumbissions, on computerised systems. You cannot use paper or ledger books anymore;

2. The Tax Return self-employed government gateway website is gradually being taken down. If your bookkeeping software doesn’t have a facility for you to file quarterly Income Tax data, you will need bridging software. This is what we provide.

What Data do you Send to HMRC?

We extract out of your spreadsheet the summary income and expense quarterly totals and send those to HMRC.

HMRC do not get your spreadsheet or bookkeeping transactions. We do not keep anything you upload to us.

Does Your Software Last Just for a Year?

No, our software has been recognised by HM Revenue & Customs for long-term use to accept spreadsheets.

Don’t get sucked in by the tales of some software providers that spreadsheets are only a temporary solution.

How Do I Insert The 123Sheets Worksheet Into My Spreadsheet?

or follow these steps:

1. Ensure you have both spreadsheets open on Excel (and they are both of the same version 2010+ or 1997+): our worksheet and your bookkeeping spreadsheet;
2. Then, click on "View" then "View Side-by-Side". You should now see both spreadsheets at the same time: one above, one below on the same page;
3. Now pick up by the tab and drop either our worksheet into your spreadsheet, or vice versa to finish.

Failing that, you do not need to merge our worksheet into your spreadsheet. You can keep these as two separate spreadsheets and use a formula to move your quarterly submission figures to our spreadsheet and just upload that to our website.

What records must I keep digitally?

It is your bookkeeping that must be kept on digtal software, a spreadsheet is more than sufficient for this. Your invoices, bank statements and everything else do not need to be in a digital format.

Don’t I need to Put My Details in The Spreadsheet?

No. In order to file quarterly data, you will set up an account with us and enter those details there. When filing data to HMRC, we send your details and your income and expense summary totals to HMRC, so we do not need to ask you for them each time you submit data to HMRC.

Do you Work with Sage, Quickbooks and Other Bookkeeping Software?

Yes, we have a section above for Sage and Quickbooks. As long as your software allows you to export your income and expenses into Excel or a .csv file, you can use our software. If it will only export a PDF, you can use a free PDF converter on the internet to convert your file into an Excel file. We are looking to increase the number of automatic imports for different software. If your software isn’t listed, get in touch, and we may be able to provide an automatic import facility for you within a week or so.
